Creating a Gemini Gem (Google)

Chat is great for quick questions, but the real upgrade in Google’s ecosystem is a Gem, your own custom version of Gemini that follows your instructions, uses your files, and shows up where you work in Google Workspace. In this lesson you’ll learn what Gems are, how they connect to Gmail, Docs, and Drive, and the exact steps to create one that reliably saves you time on summaries, emails, planning, and more.

Concept Breakdown

A Gem is a custom AI helper you define inside Gemini. You name it, give it clear instructions, and, if you want, attach reference documents so it consistently responds the way you prefer. Gems live in the Gemini app on the web and mobile, and they can interact with your Google Workspace apps like Gmail, Docs, Drive, Calendar, Keep, and Tasks when those connections are enabled. This makes your Gem feel less like a one-off chat and more like a reusable tool that works across your day. 

Gems aren’t limited to the Gemini website. Google has rolled out access to Gems from the side panel in several Workspace apps, so you can use your custom helpers while you’re drafting emails or editing documents, no context switching required. Availability can vary by account type and admin settings. 

How to Create a Gem and Connect It to Your Work

  1. Open Gemini in your browser and go to the Explore Gems area. Click New Gem. Give it a clear name (for example, “Meeting Notes Summarizer”).
  2. Write your Gem’s instructions. Treat this like a job description. For example: “Summarize meeting notes in 5 bullet points with action items and deadlines. Use a friendly, professional tone.” You can preview responses in the right-hand pane—remember to Save; previewing doesn’t save automatically.
  3. Add reference files if you want the Gem to always use them (handbooks, rubrics, brand voice guides, curriculum). You can upload files directly to the Gem’s instructions so it consistently uses that context.
  4. Enable Gemini’s ability to work with your Google Workspace apps. In Gemini settings, turn on the Workspace connections so the assistant can read and cite from Gmail, Docs, Drive, Keep, Tasks, and Calendar as needed. If you’re on a work or school account, your administrator must allow this.
  5. If you use Gmail’s smart features, make sure Smart features & personalization are on in Gmail settings. This is required for Gemini to connect to your Workspace data.
  6. Test your Gem with a realistic task. Ask it to summarize a Drive file, draft a reply to an email thread (without sending), or create a project plan from a Doc. If results aren’t quite right, refine the Gem’s instructions and test again. You can also upload files ad-hoc in a chat for one-off analysis or summarization. 
  7. Use your Gem inside Workspace apps. Open Gmail or Docs, launch the side panel, and choose your Gem to work in context while you write and review. 

Know your plan. Some features vary by plan and region; Google’s AI memberships outline model access and premium capabilities. If you hit a paywall for a feature, check your plan details.

Real-Life Applications

If you manage documents, set up a “Document Summarizer” Gem that reads uploaded PDFs or Drive files and produces a concise brief with key points, decisions, and open questions. This is especially helpful after meetings or when onboarding to a long policy. Because the Gem can analyze uploaded files directly in Gemini, you won’t have to copy and paste text. 

If you live in email, create an “Email Drafting” Gem that writes clear replies in your voice. When Workspace connections are on, you can ask it to propose a reply to a specific thread and then paste or refine it right in Gmail’s side panel. It will follow your tone and structure guidelines every time.

If you coordinate teams, build a “Weekly Planner” Gem that turns scattered notes into a simple plan. Give it instructions to generate a one-page plan with tasks, owners, and deadlines, and to pull context from a project Doc or Drive folder you’ve attached to the Gem’s instructions. 

If you work in education, create a “Curriculum Helper” Gem that uses your uploaded standards and rubrics to produce lesson outlines or formative checks that match your grade level and style. When you attach those documents to the Gem, its outputs stay aligned without you repeating yourself.
