AI can save you hours on planning, materials, and communication. To use it with confidence, you need one habit firmly in place from the start: protecting your students’ information. This lesson gives you a simple, professional rule and shows you how to follow it without losing any of the productivity benefits.
The One Rule That Protects Everyone
Keep student personally identifiable information out of general AI tools. Unless your school district has signed a formal data agreement with a specific platform, do not type or upload anything that could identify an individual student.
What counts as student PII? Names, student ID numbers, dates of birth, photographs or video, grades and test scores, attendance or discipline records, IEP or 504 and special education details, health information, free or reduced lunch status, and any detail, or combination of details, that could identify a particular child.
This Course Is About Your Productivity, Not Your Students’ Data
Everything we teach here is designed to help you, the educator, work faster on the professional tasks that consume your time: planning lessons, building and differentiating materials, drafting communication, and organizing your work. That is very different from putting AI in front of students or feeding it student records. You can get the full benefit of AI for your own preparation while keeping student-specific data out of the conversation entirely.
How to Work Safely With Student-Related Tasks
You can still use AI for work that touches teaching and learning. The key is to remove the student from the data first.
- Anonymize before you share. Replace real names with labels like Student A or Student B, and strip out identifying details. “Maria, a newcomer from Honduras in my 3rd period” becomes “an intermediate English learner.”
- Work from materials, not records. Upload your standards, curriculum guides, rubrics, and templates. These contain no student data and make the AI far more useful to you.
- Aggregate instead of individualize. “Here are the three most common errors in a set of essays” is safe; uploading the named essays is not.
- Use sample data when you want help designing an analysis, then apply it yourself to the real records offline.
Know the Rules That Apply to You
A few frameworks shape what is allowed:
- FERPA (the Family Educational Rights and Privacy Act) protects students’ education records in the United States and governs how that information may be disclosed.
- COPPA adds protections for children under 13 online.
- State and district guidance. A growing number of state education agencies and districts now advise against entering student PII into general-purpose AI tools. Your district may have its own acceptable use policy, and some have approved specific platforms through a data agreement.
- Outside the United States, check the rules in your region, such as GDPR in Europe.
The safest move is simple: check your district’s and your state’s policy, and when a tool has not been approved for student data, keep student data out of it.
When in doubt, ask. If your district has not published an AI policy yet, ask your principal, technology coordinator, or data privacy officer before using AI with any student information. Asking first protects you, your students, and your school.
Quick Practice: Anonymize It
Rewrite this request so it is safe to give an AI tool:
“Write feedback for Jordan Alvarez, ID 48213, who scored 62 on the unit 3 math test and has an IEP for processing speed.”
A safe version removes everything that identifies the student: “Write encouraging, specific feedback for a student who is working toward grade-level mastery in multi-step math problems and benefits from extra processing time.” Same useful result, no private data exposed.
